Payroll Instructions for Hourly and Salaried Employees

For Hourly Employees and Those with Hourly Assignments

Check Your Positions

In Hub+, you should review your Salary Information Notice carefully to ensure your position(s), location(s), schedule, hours, FTE, salary placement, and annual salary are correct.  If any changes are needed, please contact your supervisor immediately.

Report Time Accurately

Ensure that hours are reported on the actual date worked and report all hours worked.

Add a Time Card

Time cards for permanent hourly employees (e.g., paraeducators, building service workers, temporary part-time employees, and long-term substitutes, etc.) are automatically generated the Friday night before the week starts. If a time card has not been generated, you will need to add one. See Hub+ user guide instructions for adding a time card. A time card may not be generated when one is not needed. For example, if you were on approved leave for the entire week and did not work any hours, a time card is not required.

Submit Time Cards

No later than the last Friday of each pay period, submit up to two time cards (one for each week per pay period) by logging in to MCPS Hub+ and following the instructions in the Time Cards Employee User Guide. When you submit an absence request, be sure to adjust the regular hours on your time card so your total hours for the day do not exceed your scheduled work hours. Each pay period, you must Submit your time cards and absences by the payroll deadline. Line managers cannot approve time cards in In error or Saved status.

View or Edit an Existing Time Card

To view or edit and existing time card, follow the Hub+ user guide instructions. When submitting a correction or new hours for a prior pay period, be sure to notify your line manager so they will know to review it for approval. Time cards can only be submitted or edited for the three most recent pay periods. To adjust a time card for any period prior to that, your timekeeper must submit MCPS Form 280-7, PACS Correction

Add an Absence Request

See Hub+ user guide instructions for adding an absence. Important: Hub+ only accepts one digit after the decimal point (tenths of an hour). Please refer to the Fraction of Hour reporting chart for how to report tenths of an hour. Absences must be approved by the time card deadline to be paid, even if the time card is approved. To view your absences, from Hub+, select the Time and Absences tile, followed by Existing Absences.

Withdraw or Edit an Absence

See Hub+ user guide instructions for withdrawing or editing an absence. Employees can only withdraw or edit absences that are in Saved or Awaiting approval status, or absences that have been approved for a future date. If an absence has been approved for a date that is in the past, your timekeeper must submit MCPS Form 280-7, PACS Correction to make a change to the absence.

For Salaried Employees

Time cards

As a salaried employee, you do not submit time cards unless you have an hourly assignment or additional hours outside of your scheduled hours (e.g., class coverage, ECA1, etc.) If you do, you must add a time card no later than the current pay period deadline to report your additional time worked. Do not report Regular for scheduled hours on a salaried assignment or create a blank time card just to review absences. Absences should be reviewed from the Existing Absences tile. You must submit your time card for line manager approval. Line managers cannot approve time cards in In error or Saved status. Do not bank, save, or hold hours to submit later, and do not report hours before work is performed.
